1. Who we are
Geaux Uptown Solutions LLC ("Geaux Uptown," "we," "us") is a Texas limited liability company providing healthcare operations consulting, AI implementation, and reputation management services. 2. Information we collect
We collect only what we need to do business with you:
- Contact & intake data — name, email, phone, company, role, and the details you submit through our contact, discovery, and AI bot intake forms.
- Conversational data — transcripts of chats with our website AI assistant when you consent to share them so we can follow up.
- Newsletter data — your email address when you opt in to the Operator's Brief.
- Technical data — IP address, browser/user agent, page paths, and basic analytics needed to operate and secure the site.
3. How we use information
- To respond to inquiries and deliver contracted services.
- To send transactional email (confirmations, follow-ups).
- To send the Operator's Brief newsletter — only to subscribers who opted in. Every email has a one-click unsubscribe link.
- To improve our site, services, and AI assistant quality.
- To meet legal, tax, and accounting obligations.
We do not sell personal information, and we do not share it with third parties for their own marketing.
4. HIPAA & Protected Health Information (PHI)
Our public website is not intended to receive Protected Health Information. Please do not submit patient identifiers, medical record numbers, diagnoses, or other PHI through our contact, intake, or chat forms.
When we are engaged by a Covered Entity or Business Associate under a written services agreement, we will execute a HIPAA Business Associate Agreement (BAA) before accessing PHI. Under that BAA we maintain administrative, physical, and technical safeguards consistent with the HIPAA Privacy and Security Rules (45 CFR Parts 160 and 164), including access controls, encryption in transit and at rest where applicable, audit logging, workforce training, breach notification procedures, and minimum-necessary access. Specific safeguards are documented in the engagement BAA and security addendum.
5. Service providers (subprocessors)
We use vetted infrastructure providers to operate the business — for example, cloud hosting and database, transactional email delivery, and AI model providers for our assistant. These providers process data on our behalf under their own security programs. A current subprocessor list is available to clients under a signed agreement.
6. Data retention
We retain inquiry and intake records for as long as needed to serve you and to meet legal obligations, and then delete or anonymize them. Newsletter records are retained until you unsubscribe. Chat transcripts shared with consent are retained for quality review and follow-up.
7. Your choices & rights
- Unsubscribe from email at any time using the link in any message.
- Request access to, correction of, or deletion of your personal information by emailing contact@geauxuptownsolutions.com.
- Residents of states with comprehensive privacy laws (e.g. California, Texas, Virginia, Colorado) may have additional rights, including the right to opt out of "sale" or "sharing" of personal information. We do not sell or share for cross-context behavioral advertising.
8. Security
We use TLS for all site traffic, scope access on a least-privilege basis, and store credentials and secrets in managed secret stores. No system is perfectly secure; if you believe your information has been compromised, contact us immediately.
9. Children
This site is intended for business audiences and is not directed to children under 13. We do not knowingly collect data from children.
10. Changes
We may update this policy as our services evolve. Material changes will be posted here with a revised effective date.
